What to gather before you start
Current managing agent details
Name, address, and contract terms of any managing agent, including notice periods.
Freeholder / landlord details
Registered name and address for service — check the title register at HM Land Registry.
Lease copies
A copy of the lease for each flat, to confirm qualifying tenants and lease terms.
Buildings insurance policy
Current policy schedule, renewal date, and claims history.
Existing contracts
Cleaning, gardening, lift maintenance, utilities, and any other service contracts.
Service charge accounts
The last three years of service charge accounts and details of any reserve fund.
Compliance records
Fire risk assessments, gas and electrical certificates, asbestos surveys.
